What makes Rose Vanilla unique?
At Rose Vanilla, our aim is simple elegance. Our customers understand that we require a certain level of artistic freedom when it comes to cake design. Standard American buttercream (butter creamed with icing sugar) does not exist in our kitchen. Instead, we use beautiful Swiss meringue buttercream which is smooth, delectable, and not overly sweet.
How do I place an order?
The best & quickest way to place an order is by filling out our order form.
How far ahead should I order?
As soon as possible, but not more than 6 months ahead. Because of the uncertainty of input costs and availability, we cannot quote that far ahead. For wedding cakes 3 – 6 months ahead is good. For our floral, and vintage cakes, about 2-3 weeks, even though earlier is better. But please don’t hesitate to contact us anyway.
Due to the significant amount of time and labor dedicated to creating a single flower cake or set of cupcakes, we only make a certain number of cakes per week. Depending on our production schedule, we happily accommodate last-minute orders.
Prices and Payment Policy
Our prices are listed by size in our Price & Size Guide. Virginia's 6% sales tax will be added to the total order amount.
We require FULL pre-payment for all pre-orders. Payment is due at the time of booking. Until payment is received the order is not finalized or in our calendar and the date can be lost.
What size cake do I need?
We have listed the approximate serving size of each cake tier we offer.
All of our cakes are a generous 6” to 8” tall.
Could you write a message on the cake?
No. We refrain from doing any writing on the cake since it distracts from the elegant style we aim for. Please order a sugar plaque or sugar paste letters with the message you require, when placing your order.
Do you have a storefront?
We are a private in-home studio, not open to the public.
Do you ship cakes?
Due to the delicate nature of floral buttercream decoration, unfortunately, we are not able to ship cakes. We certainly do not want the cake to arrive at your door in less-than-flawless condition!
How do I keep my cake?
We recommend picking your cake up the day of your event or the day before if the cake is being served before noon. The key to enjoying our cakes (or any cake for that matter) is temperature.
All of our cakes are stored in the refrigerator before pickup/delivery to ensure smooth transportation. However, please allow 3-4 hours for the cakes to come to room temperature before serving. Cold cakes can be hard and seem dry.
Please note that the cakes may contain internal supports such as cocktail sticks and dowels which will need to be removed prior to serving.
We bake with care and attention to detail but sometimes a piece of eggshell or fruit seeds can make its way into our cakes as each cake is hand-made from scratch.
How about weather and climate conditions?
It is your responsibility to ensure that the cake will be stored and set up in an area that is climate-controlled to ensure that the cake remains intact and retains its original condition. High temperatures and humidity due to weather conditions and the lack of a cool environment at the appointed location may adversely affect the condition of the cake. Rose Vanilla cannot be held responsible for unfavorable conditions at the cake’s destination. Please note that direct sunlight and temperatures of 72 degrees and higher may have drastic and adverse effects on any confection ordered.
Matching colors: we make every possible effort to match your event’s colors, however, when working with food colors, perfect color matches are sometimes difficult to achieve. Dark-colored icing tends to darken further over time, with humidity or heat.
How do I pick up my cake and sweets?
Transporting this type of goodies requires special care, and you agree to prepare your vehicle in advance accordingly.
You acknowledge that once you have picked up your cake and sweets, Rose Vanilla cannot be held liable for any damage or failure that may occur once they leave our location or during transport, handling, set up, or display. Once you have the cake and sweets, it is your responsibility to transport them directly to the event venue and not leave them unattended in your vehicle or anywhere outdoors.
Do I have to pick it up? Do you offer delivery?
For orders with a $350 minimum, Rose Vanilla offers delivery for a fee within 30 miles of our downtown Fairfax, VA location, ensuring your order arrives in pristine condition as intended. Delivery pricing will vary based on time and distance, starting at $50 + $1.50/ roundtrip mile + tolls + parking. Rose Vanilla will repair or remedy any damage in transit with the Rose Vanilla delivery service. Delivery is subject to location and availability. If we can deliver to your location, we will arrange for the order to be delivered to the address provided at the agreed-upon time.
Please note that the delivery fee does not include setup. Setup services are available at an additional cost and will be calculated based on the complexity of the setup and the time required.
Customers must ensure a person is available to receive the delivery during the selected time slot. Once a product is delivered, Rose Vanilla releases all responsibility for the condition of the product. Rose Vanilla will not be held responsible for the condition of an order after the venue or customer has received it.
Can I cancel my order?
We understand that, occasionally, unforeseen circumstances may force you to cancel an order. Please be in touch, as soon as possible, if a cancellation seems imminent. Cancellations made more than 7 days before your order date are eligible for a 50% refund. Cancellations made within 7 days of your order date are non-refundable. We ask that you understand that by booking your order, we have held that confirmed slot for you and have turned away additional orders. You must confirm your cancellation by Rose Vanilla for the cancellation to take effect. If your event date must be postponed we will do our best to accommodate you as long as your new event date is available, otherwise, it will be considered a cancellation. In the unlikely event of an emergency, such as fire, flood, severe illness, or medical emergency, and your order must be canceled by Rose Vanilla, we will offer you a full refund.
Can I make changes to my order?
Changes can be made to orders up to 10 days before the scheduled pick-up time. All changes must be submitted to hello@rose-vanilla.com
Artistic License Disclaimer
All products at Rose Vanilla are customized to each customer’s details; however, all cakes are subject to the artistic expression of Rose Vanilla. All products are handmade and unique, so no two are ever the same. As such, cake decorations, sprinkles, and other decorative elements will change depending on their availability. None of our products will ever replicate or look identical to another photo and we will not make direct copies of other baker's work. Rose Vanilla is not able to provide a refund for a cake or other product that does not look identical to a photo provided by the customer.
Allergens
All baked goods contain wheat, soy, eggs, and dairy. Traces of soy and nuts may be present due to food being prepared in a kitchen where those ingredients are present. Please let Rose Vanilla know if you suffer from any allergy or sensitivity when placing your order, so that we may take extra precautions, however, cross-contamination can occur. Our products are not gluten-free, dairy-free, or sugar-free.
